Change Volunteer's Status

Change a volunteer's status as they move through your program — for example from Prospective to Active, or to Inactive/Archived when they step away. A volunteer's status controls whether they receive shifts and recurring schedule assignments.

Opening the volunteer's Status Change page

To change a volunteer's status:
    On the Volunteers page, click the Volunteers tab.
    Click the volunteer's name to open their profile.
    Click the Status change tab.

Changing the status

The page shows the volunteer's current status. To change it:
    Pick a New StatusActive , Inactive , Prospective , or Archived .
    Review the effects shown for that choice (see below).
    Click Change Status , then confirm with Yes, change status .
What each status means
  • Active — the volunteer can be assigned shifts, and their recurring schedules generate future shifts. (Default for new volunteers.)
  • Prospective — a potential or onboarding volunteer; they won't receive automatic assignments until set to Active.
  • Inactive — the volunteer stops receiving new shifts; future shifts are unassigned and schedules stop generating. Portal access is kept.
  • Archived — like Inactive, but also deactivates the volunteer's portal access . Use it to retire a volunteer; you can un-archive later, which reactivates their portal access.
Effects shown before you confirm
  • Switching to Inactive or Archived lists how many future shifts will be removed and how many recurring schedules will stop (and, for Archived, that portal access will be deactivated).
  • Switching to Active or Prospective shows how many schedules will resume generating shifts (and portal reactivation if you're un-archiving).
