Assign Volunteers to a Shift

The Day board is where you see today's shifts, assign volunteers, handle no-shows, and save the day's work in when it's done.

Opening the Day board

From the Volunteers page, the Day tab opens by default with today's date. Use Prev, Today, and Next at the top right to step through dates.
Below the stats, three dropdowns let you narrow what's shown:
  • Job Group — Limit to one group (e.g., Drivers).
  • Route — Limit to jobs tied to a specific route.
  • Status — On Live, filter by Assigned , Unassigned , or Pending Approval ; on Committed, filter by Attended or No Show.
Click Filter to apply.

Assign shifts

On today or future dates, the table shows one row per shift, grouped by Job Group. Row colors tell you the state of each shift at a glance:
  • Green — A volunteer is assigned.
  • Yellow — A volunteer signed up from the Volunteer Portal, and the shift is Pending Approval.
  • Orange — The shift is unassigned.
To assign or change a volunteer on a shift, click the Assign button in the orange volunteer cell, pick from the dropdown, and confirm with the checkmark button. To unassign, use the "X" button to the right of the volunteer's name.
Note that on the right-hand side of each job row, there are a couple buttons that enable direct navigation to job and volunteer view/edit pages:
  • View/edit job — Click the notepad and pencil icon to open the shift's job configuration so you can adjust its details (times, route, group, and schedule rules). Saving updates this shift and regenerates future shifts to match.
  • View/edit volunteer — Click the person icon to view the assigned volunteer's full profile, including contact info, status, skills, groups, qualifications, compliance/requirements, schedule assignments, and recent activity. (Only appears when a volunteer is assigned to the shift.)

Add extra shift

If you need to add a one-off shift beyond the jobs already scheduled for a specific day:
    At the bottom of the shift list, click Add extra shift.
    Pick a Job from the dropdown.
    Optionally pick a Volunteer to assign right away (or leave Unassigned).
    Click Add.
The new shift is added to the list and is also recorded as an Add exception on the job — see  Volunteer jobs & schedules  for how exceptions work.

Next step: commit the day
